Addresses & Phones
The Addresses panel tracks all information relating to an account's address including phone numbers and emails for each address, and company names and occupations for business addresses.
The Address data entry is accessed from the Address panel, or when adding or editing an account as part of the New Account Wizard.
When adding a new account, the addresses entered on the Duplicate Check page will carry over to the Addresses page. To update an address previously entered, select the address from the grid under the data entry fields to load the address information and edit.
There are three tabs to the Addresses panel.
I. Address Details - general address information including address type, address, and phone numbers.
Field | Description |
Person | Select a person on the account
only if the address applies to only one account member such as
a business address or personal address..
Home addresses should not have a person selected. Work and Personal addresses should always have a person selected. . |
Address Type | Select the category of the address
such as HOME, WORK, etc.
Address types may be designated as a business address in Tools > Code Setup > Demographics > Address Information > Address Types. The address type selected will impact how the address will display on reports and the web portals. Be consistent in how they are designated for all accounts. Ex: HOME - home address and home phone number(s) WORK - business address and work phone and email (select a person) PRSNL - personal cell phone and email (select a person). |
Firm Name | Enter the company name if applicable.
This field is enabled only when the address type is defined as a business address type (see Address Types). The company name may also be selected from the dropdown if it was set up as a company in Tools > Code Setup > Demographics > Business Information > Companies.. |
C/O | A Care Of may be entered.
This field is enabled if the address type is defined as a business address type. |
Address 1 | First line of the address including house number, street, and apartment. Ex: 123 Main Street #1G |
House, Street, Apartment links | The system will parse out the
house number, street name, and apartment number from the Address
1 field to be used for sorting and reports.
Click on the links to edit them. |
Address 2 | Second line of Address, if applicable. |
City | Address city.
This may be skipped and set to auto-default based on the zip code entered. |
State | Address state.
This may be skipped and set to auto-default based on the zip code entered. |
Zip | Address zip.
Zip codes are defined for the city and state they cover in Tools > Code Setup > Demographics > Address Information > Zip Codes. |
Country | Address country, if different than the organization's country. It is recommended to only select a country if different than the default so the default country will not to display on mailing labels and lists. |
Region | A region, which may be used to group multiple zip codes into one area, may be selected if applicable, or defaulted based on the zip code. |
Phones
- Phone numbers and emails are linked to a specific
address. In situations where there is no address, such as when
just entering a personal email or cell, select just the address
type, and person if applicable. The other address fields may be
skipped.
Ex: To enter a personal email, select the person from the Person dropdown and Address Type of Personal and enter the email under the phone number section. |

Phone Type | Phone number category such as
PHONE, FAX, CELL, EMAIL.
Phone types are defined in Tools > Code Setup > Demographics > Address Information > Phone Types. If the phone type selected is marked as email, one text field will display in place of the area code, phone number, and extension fields. |
Area Code + Phone Number + Extension fields | Enter the area code and phone
number.
The format of the phone number will be dependent on the country of the phone. ex: xxx-xxxx for the United States. If the phone number has a country code and format that is different than the address, change the phone's country code: right-click in the phone field and select Phone Details > Show Country List to select the country of the phone line. For example, an address in Canada may have a US phone number via a VOIP line.
Notes may be added to the phone number. Right-click in the phone field and select Phone Details > Show Notes. |
Email field | The phone number field will display as a text box for an email address if the phone type is set up as an email phone in Tools > Code Setup > Demographics > Address Information > Phone Types. |
Click on the Add Another Phone # icon to add additional phone numbers to the address. |
II. Firm Details - when the address is a business address, the Firm Details tab will be enabled to enter additional information
Field | Description |
Occupation | Business occupation description (ex: Doctor). |
Business Title | Business title description (ex: CEO, VP). |
Employed Status | Employment status (ex: employed full time, part-time, unemployed). |
Contact | Contact name at the company. |
Industry | Category of field of business (ex: technology). |
Ratio | The matching pledge policy of
the company for donations made by its employees. (Ex: 1:1)
A matching pledge will not be automatically created, but may be used for reporting to then create pledges. |
Print Name on Receipts | Select whether the account names
should print on receipts being sent to this business address.
If not selected, just the company name will print.
Note: The receipt template used must be configured to include this feature. |
Print Name on Statements | Select whether the account names
should print on statements being sent to this business address.
If not selected, just the company name will print.

III. Notes & Directions - additional information relating to the address may be entered.
Field | Description |
Contact | Contact name for business or
emergency addresses.
If a contact name was entered on the Firm Details page above, it will display here as well. |
Notes | Additional notes regarding the
address.
For emergency addresses contacts, enter the relationship to the account in the notes field (ex: aunt, neighbor). |
Directions | Directions may be entered for the address. |
Cross Streets | The streets between which the address is located. This may be useful for assigning solicitors by area for fundraising, or for arranging school transportation routes. |
Sort Seq. # | The order in which the address
will display and print, in ascending order.
The sort will default based on the address type which can be set up in Address Types. |
Date 1 - 3 | Dates relating to the address
may be entered, if applicable.
These fields are for informational purposes only and will not impact any mailings or reports. |
Grid:
The addresses grid displays the address details, with expandable rows that display the phone numbers of each address below.
