Financials and Solicitors Integration
A solicitor is an individual responsible for, or credited with, an account's pledge. The solicitor may be responsible for approaching the account for donations, participation in fundraising campaigns, etc. Solicitors are not required to be assigned to accounts or financials entries.
A solicitor may be assigned to an account to be responsible for getting donations from the account in general, or for a specific campaign. A solicitor may also be credited for individual pledges.
I. Account Solicitors - Solicitors may be assigned to an account on the Demographics > Solicitors panel.
- A solicitor may be assigned to an account for a campaign code (for all years), for a specific campaign id (for one year), or as the account's default solicitor for the Primary Campaign .
- An account may be assigned multiple solicitors. For example, there may be a primary solicitor, a solicitor for campaign RAFFLE, and a different one specifically for RAFFLE2015.
II. Pledge Solicitors - Solicitors may be assigned to a pledge on the solicitor field on the pledge data entry page.
-
The solicitor(s) may be manually selected when adding the pledge by selecting it from the dropdown on the solicitor field.
-
The solicitor may be defaulted automatically when adding the pledge if the auto-value is set to be Dependent:Campaign ID, based on the following logic. The data will default in ascending order - if a solicitor was found for (a), it will not continue checking for (b) etc.
-
If there is an account solicitor for the same campaign and year as the campaign id of the pledge, the solicitor will default.
-
If there is an account solicitor for the same campaign, without a year, of the pledge's campaign, the solicitor will default.
-
If the account has a primary solicitor, a solicitor for the Primary Campaign , it will default.
-
If there is no account solicitor to default, but the campaign id of the pledge has a solicitor assigned in Tools > Code Setup > Financials > Campaigns > Campaign Ids : Solicitor field, the solicitor will default.
-
If there is no account or campaign solicitor to default, but there is a solicitor set up for the state of the account's primary address in Tools > Code Setup > Demographics > Address Information > States : Solicitor field, the solicitor will default.
III. Pledge Solicitors & Account Solicitors Updates - there is an option to add the pledge solicitor as an account solicitor on the Demographic > Solicitors panel when saving a pledge. The options 0-4 are listed below. Please check with your DDC rep for your system's configuration.
-
0 - The pledge solicitor will not be added to the account's solicitors.
-
1 - If the account already has an account solicitor for the campaign and year of the pledge, update it with the solicitor selected on the pledge.
-
2 - Add the solicitor selected on the pledge as another account solicitor for the campaign or campaign and year of the pledge.
-
3- If the solicitor selected on the pledge is not the account's primary solicitor, then add the solicitor as an account solicitor for the campaign and year. If it is already a primary solicitor, do not add it.
-
4- If the account does not have any account solicitors, then add the solicitor selected on the pledge as an account solicitor for the campaign.
