Create Parent Association

Update Report: Public/School/Functions/B20 - Create Parent Association

Use: Assign an Association to a group of accounts to designate them as a parent or former parent. This will facilitate querying and running reports.

  • Multiple parent associations may be created, such as one for each grade or division, to facilitate easy reporting (ex: PARENTS1, PARENTS2, PARENTSMS, PARENTSHS, etc.)

  • Parent associations are needed in order to create grandparent associations.

  • If the account already belongs to the association, it will not be assigned it again.

  • The association is assigned to the account as a whole and not to a specific person on the account. Ex: If the Primary is a parent, but not the spouse, the whole account will still be marked with a parent association.

  • If an account has a former parent association and will now be assigned a parent association, the former parent association will be removed from the account.

1. Select the report under the Query Builder's Public > School > Functions > B20 - Create Parent Association.

2. Select Preview.

3. Enter the following parameters:

  • Association Type (required) - select the association that the parents will receive. The association type must be marked in Tools > Code Setup > Demographics > Associations > Associations as a Current Parent Code.

  • User (required) - select your user name.

  • Division (optional) - select a division to create the association for only parents of a specific division. This report may then be run multiple times to create different associations for each division.

  • Grade (optional) - select a grade to create the association for only parents of specific grade(s). This report may then be run multiple times to create different associations for each grade.

In the example below, an association of P1 will be created for all accounts with a student in grade 1 in the current year.

4. Click Done.

5. When completed, a message "Report Executed Successfully" will display.
