Delete Classes and Grades

When a student was entered into the wrong grade or class section, and there are no marks or attendance to be concerned about, the grade or class section(s) can be deleted.

This may occur due to a data entry mistake, or for a student registered for the school year but pulled out before the school year began.

 

NOTE

When a record of the grade or class section(s) in which the student was enrolled is needed, and when there are marks and attendance records linked to the class section, it will need to be dropped. This is necessary for students switching class sections or sections in middle of a term, or leaving the school mid-year.

Do not delete a class section if there are marks, attendance, or other information that will need to be referenced.

 

I. Delete class sections - when the student is enrolled in class sections and will not be attending them, delete the class sections.

  1.  On the Courses panel under the Student module, select the class section to be deleted. Make sure it is for the correct student if there are multiple students on the account.

  2. Select to delete the class section.

  3. If student is enrolled in other class sections for the same term, you will be prompted whether to delete all of them.


    If the student is not returning for the school year, select Yes to delete all the class sections for the term.

 

Deleting a course affects:

a. Attendance - any attendance records on the course section will no longer be accessible.

b. Marks - any marks on the course section will no longer be accessible or viewed on the staff portal..

 

II. Delete Grades - when the student will not be attending the school for the term, and the student is not registered for any courses for the term, the grade can be deleted.

Do not delete a grade if there are class sections for the school term of the deleted grade as the class sections will not be accessible or visible from the courses screen. If the student is enrolled in class sections without a grade and is appearing on class lists, add a grade record to the student, and then delete the class sections as per above and then the grade.

1. On the Grades panel under the Student module, select the grade to be deleted. Make sure it is for the correct student if there are multiple students on the account.

2. Select to delete the grade.

3. If the grade being deleted is the only grade for the student, you will be warned that by deleting the only grade, the student will no longer be considered a student in the system.

 

 

4. If the student has a tuition contract, the grade cannot be deleted. Delete their tuition contract first and then delete the grade.
